Admissions information — application forms, supporting documents, assessments, interviews, and correspondence about an application.
Educational records — attendance, assessment, discipline, support, and related school records.
Billing and payment data — account references, fee balances, payment history, proof of payment, and limited payment confirmation data from PayFast or the school’s bank (not raw card numbers).
Health and emergency information — medical aid details, doctor contacts, allergies, conditions, medication, and emergency treatment authority where legitimately required for learner care and safety.
Photographs and media — where consent applies for school publications, events, or marketing, subject to the school’s media practices and any opt-out communicated to the school.
Website and technical data — limited technical logs reasonably required to operate and secure this website.
4. Purposes of processing
We process personal information to: consider and administer admissions; enrol and educate learners; communicate with parents and guardians; manage accounts, fees, and collections; protect learner safety and wellbeing; comply with legal and regulatory duties; improve school administration; and operate this website and related digital school services.
Processing is limited to what is adequate, relevant, and not excessive for these purposes.
5. Consent, contract and legitimate interests
We rely on consent (including the email and application consents described above), performance of the schooling and financial agreement with parents, compliance with law, and legitimate interests of the school in providing education and protecting learners, balanced against data subject rights.
7. Security and access
The school takes reasonable organisational and technical steps to protect personal information against loss, misuse, and unauthorised access. Access to learner and parent records is limited to staff and operators who need it for their roles.
No method of transmission or storage is completely secure. Parents should use strong passwords for any portal access and keep login details confidential.
